InterLibrary Loan & Document Delivery Services (ILL-DDS)

What is ILL-DDS?

ILL-DDS is a service in which research material (copies of articles and the loan of books), not available in the UOB Libraries, is requested from other libraries, whether from abroad or locally. Items available through ILL-DDS include books, periodical articles, conference proceedings, theses, reports and some older microforms and dissertations.

How do I request items located at another UOB Library (Main or Branches)?

Use the ICL Service to borrow items held at another UOB Library.

Who are the UOB Libraries partners and providers?

The ILL-DDS Department will provide the requested material through different sources:

1. LIDS ( Lebanese ILL-DDS Services) consortia composed of 4 universities: Lebanese American University (LAU), Notre Dane University (NDU), UOB (University of Balamand) and     (USEK)

2. British Library (BL) – Document Delivery Service Office

3. Agence universitaire de la Francophonie (AUF), Lebanon -  Document Delivery Service Office

4. An-Nahar Research and Documentation Center

5. World Health Organization – Eastern Mediterranean Regional Office (EMRO) - Document Delivery Service Office

Who can use ILL-DDS?

Library users with valid University of Balamand library cards are eligible for the service: UOB faculty, staff, graduate students, and undergraduate students, who are registered with the University Library. This service is NOT AVAILABLE to alumni, special borrowers, friends, relatives and spouses of UOB students, staff or faculty or students from other institutions.

Document Delivery requests will not be processed for users with a library probation status with the Library or whose ID has expired.

What can and what cannot be ordered?

Before requesting materials through ILL-DDS, it is very important to check that the item is not available at any of the UOB Libraries.

* Material available for loan: books, conference proceedings, newspapers on microfilm, and photocopies of periodical article

* Material not available for loan: Non-circulating materials (Valuable, fragile and rare materials / Works prescribed or recommended for school projects / Reference materials / Computer software / Entire issues or volumes of periodicals / Multiple volume sets / Other non- circulating items

* Theses and Dissertations: Some universities do no lend their masters theses and doctoral dissertations. Each request will be deal with on an individual basis. Most dissertations are available for purchase from University Microfilms International through the online database Dissertation Abstracts located on the Libraries’ web site.

N.B. Please note that requests are filled or denied at the discretion of the lending library or commercial document supplier.

How much does ILL-DDS cost?

ILL-DDS are designed to be used for serious research projects. The Library reserves the right to refuse any ILL-DDS request if it is deemed to fall beyond the reasons the service was designed for.

There is no charge to faculty, staff and students, unless the cost exceeds our subsidy and you are willing to pay the extra cost. However there limitations to the number of items that can be requested on an annual basis:

 Costs which will be passed on to all library users include:

- Fax/courier charges for RUSH requests

- Overdue fines charged by the lending library

- Replacement fees for lost or damaged materials

 

All fines can be paid at the assigned desk (Main Campus: ILL-DDS Office; Beirut Campus: Associate Librarian’s Desk). It is important that fines be paid ASAP so that your account may be unblocked.  Excessive or consistent overdues will result in permanent suspension of ILL privileges.

 

How do I place a request through ILL-DDS?

ØEligible UOB users can use the online forms to request material not owned by any UOB Library. Users who have disabilities that prevent them from using the online forms may seek assistance from the Document Delivery Services staff to submit their requests

ØUsers have to complete one form per item, irrespective of whether two or more articles come from the same issue of the same journal.

ØPlease double check your UOB email account because you will be notified at that address only when the item is available for pick-up.

ØThere are three different request forms, one for books/dissertations, one for articles, as well as one for conferences. Please be sure to complete the form correctly and supply all the relevant details; or your request will not be processed. Do not guess any information.

 

ØAbbreviated journal titles: When journal titles are abbreviated, please give the complete title (no abbreviations) on the request form. Or your request will not be processed.

What do I do if I don't know all of the information requested on the form?

When citation information is incomplete or incorrect, please ask a reference librarian or any librarian if s/he can help you locate the needed information.

How long will it take to get my materials?

There are several factors that are important to consider in concerning delivery, e.g. whether it is a non-returnable item (photocopy) or a loan, whether the supplier is a local library, overseas library or a commercial vendor and the method of delivery (e.g. regular mail, courier, fax, etc.). Some average times include:

Local order            3 days to 1 week

Overseas order:     2 weeks to 3 weeks

Requests submitted on Friday, Saturday, Sunday and during vacations cannot be processed till the upcoming working day.

What is a RUSH request?

RUSH Interlibrary Loan service attempts to fill journal article requests within 24 hours. Additional fees apply to RUSH requests.

How will I be notified on the availability of material?

When the item is received, UOB Libraries will notify users via e-mail through the UOB WebMail. Be sure to have your UOB email account. Please double check your UOB email account because you will be notified at that address only when the item is available for pick-up.

Where do I pick up / return my loans?

You will have to come in person in order to pick up or return your requests. Copies of articles are yours to keep. Books may be returned at the pick up library. To pick up your material you should have a valid UOB ID card. Pick up / return points are at the assigned desk (Main Campus: ILL-DDS Office; Beirut Campus: Associate Librarian’s Desk).

Where is the ILL-DDS Office located? And how can I contact the staff?

This office is situated on the Second Floor (Room 415) in the Main Library, Al-Kurah Campus and at the Entrance of the Abi Chahla Medical Library, Beirut. Staff available during the day (08:00 a.m. to 05:00 p.m.) are:

How long can items be checked out?

ØCopies of articles sent to you are yours to keep, but remember to observe copyright laws.

ØThe loan period of time an ILL-DDS request can be checked out will vary, as it is determined by the lending library. The average loan period is 2-3 weeks; however, some loan periods can be longer or shorter. Most items can be renewed.

ØBooks should be returned on the due date stamped on the book by UOB Libraries, so that it can be returned on time to the lending library.

How do I renew items?

ØRenewals are determined by the lending library. For most loans renewals are not allowed. However, where possible the borrower should apply for a renewal approximately one week (5 working days) in advance.

ØIf you would like to renew a document delivery item, click here or go in person to the ILL-DDS Office. NO phone requests will be accepted.

ØRenewals cannot be requested once the book is overdue.

ØYou may request to renew a book only once (1).

ØYou will be notified by e-mail on the lending library’s decision (if it agrees or not to your request); you will also be notified on the new due date.

What are the responsibilities of the Library User?

The User will:

ØVerify that the materials being requested are not owned by the UOB Libraries by using the library's online catalog or any other reference on the Libraries’ web site. The Reference staff ought to be asked for help when needed.

ØProvide accurate citations for the materials being requested. Check online and paper indexes to verify citations when possible. Journal title abbreviations should not be submitted --not to guess their meaning.

ØPlan ahead. The interlibrary loan process takes time. Materials located out of the country may not arrive for several weeks.

ØPick up materials in a timely manner. Materials obtained through interlibrary loan are checked out for 2-3 weeks from the time the user is notified that the materials have arrived.

ØPick-Up / Return materials to the UOB Document Delivery Office or the Abi Chahla Medical Library Desk when they are due. Overdue fines will be billed to the user’s library circulation record if materials are not returned on time.

ØKeep materials safe while they are checked out. If lost or damaged, the user is liable for the replacement or repair costs as billed by the lending library. The fine is then collected by the borrowing library that is responsible towards the lending library.

ØComply with the fair use and copyright section of the Lebanese Copyright Law of 1999.

What Copyright restrictions are observed?

The copyright law of the Lebanon (Chapter VI, Item 25 & 26: No. 75 of April 3, 1999) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of the specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order, if in its judgment, fulfillment of the order would involve a violation of copyright law.
